Your library and LibraHub have different responsibilities.Your library manages its student and staff records. LibraHub provides the software and handles platform accounts, service delivery, billing and support.

1. Who we are

LibraHub ("we", "us" or "our") provides library management software through www.librahub.online. Our business contact address is Koderma, Jharkhand 825410, India.

This policy covers visitors, library owners, authorised staff and students who interact with the platform. A subscribing library decides what information it enters about its members and how it uses that information. The library is responsible for its own notices, permissions and lawful use of those records; we process them to provide the service. We separately handle information needed to manage LibraHub accounts, subscriptions, security and support.

2. Information we handle

  • Accounts and libraries: names, email addresses, phone numbers, library details, account roles, authentication records and profile information.
  • Library records: student and staff details, membership, seat and shift allocations, attendance, fee and expense records, requests and messages entered by a library or its users.
  • Payments and subscriptions: selected plans, coupon use, invoices, payment amounts, transaction references, payment status and related correspondence. Payment providers collect the payment credentials required by their checkout; do not send card security codes, banking passwords or OTPs to LibraHub support.
  • Uploads and communication: profile images, library branding, documents and information supplied through forms, email, support tickets or service messages.
  • Technical and usage information: IP addresses, browser/device information, session and security events, error logs, feature activity and notification delivery information. If push notifications are enabled and permitted, this includes a device notification token.

We receive information from you, your library's authorised users, your browser and providers that return service or payment status. Please provide only information needed for the service and avoid uploading unrelated sensitive documents.

3. How we use information

  • Create accounts, authenticate users and keep access scoped to the correct library.
  • Provide student, seat, shift, attendance, fee, reporting and library administration features.
  • Manage subscriptions, offers, payments, invoices and billing enquiries.
  • Send verification messages, security alerts, receipts, reminders and library communications configured by authorised users.
  • Investigate support requests, prevent misuse, resolve errors and improve service reliability.
  • Handle data requests, disputes and obligations under applicable law.

Where consent is required, we seek it for the relevant activity. Depending on the circumstances and applicable law, information may also be processed to provide a requested service or meet a legal obligation. Agreeing to use the service does not give us unrestricted permission to use personal information for unrelated purposes.

4. Cookies, browser storage and device permissions

Cookies and browser storage support sign-in, session security, preferences and the PWA experience. Blocking essential storage may prevent sign-in or other features from working. On a shared device, sign out and avoid saving credentials.

Features such as QR scanning or push notifications may ask for camera or notification permission. You can manage these permissions in your browser or device settings; declining permission may limit the related feature.

Some public pages load fonts, icons or embedded media from third-party services, such as Google Fonts, cdnjs or YouTube. Your browser may send those services technical information, including your IP address, when the relevant content loads. Their handling of that information is subject to their own policies.

5. Sharing and service providers

Authorised members of your library can access information according to their roles. LibraHub personnel may access relevant records for support, security and administration. We do not sell personal information.

We use service providers for the functions below. The information shared depends on the feature you use and the deployment configuration.

Render · Application hosting
Hosts the application and processes requests, technical logs and information needed to deliver the service.
Cloudinary · Media storage and delivery
Stores and delivers uploaded images and library media, together with associated file metadata.
Brevo · Email delivery
Processes recipient details, message content and delivery information for emails sent through the service.
Razorpay · Payment processing
Handles payment checkout when offered, including transaction and payer information needed to process, verify and reconcile a payment. Its payment services are also subject to its own terms and privacy policy.
cron-job.org · Scheduled service tasks
Triggers scheduled operations and may retain request, response and execution metadata. It is used for scheduling, rather than as the primary store of library records.
Database and optional integrations
Workspace records are stored by our configured database hosting provider, which may include Supabase. Optional features may use Firebase for push notifications or Google for sign-in when enabled. Contact us for details about the providers relevant to your workspace.

We may also disclose relevant information where required by law, to respond to lawful requests, protect users, investigate fraud or establish or defend legal claims. A business reorganisation may involve a transfer of relevant records, subject to applicable safeguards and notice requirements.

6. Where data is processed

LibraHub operates from India. Hosting and other providers may process information in India or other countries, depending on their service regions. We do not represent that every copy of information stays in India. Where cross-border restrictions or safeguards apply, we arrange processing subject to those requirements.

7. Security and access

The application includes tenant-scoped access, roles and permissions, password hashing, session protection and security logging. We use security measures appropriate to the service and investigate reported security concerns. No online service or storage system can guarantee complete security.

Library owners should keep user access current, protect their credentials and report suspected unauthorised access promptly. Never send passwords, OTPs or private payment credentials with a support request. We will provide incident notifications where applicable law requires them.

8. Retention and deletion

Information is kept for the purposes described here and for necessary legal, billing, security or dispute-handling requirements. Subscription expiry does not immediately erase a workspace. Account deletion is a separate process with verification and review.

Our Data Retention Policy explains the deletion waiting period, backups, exports and exceptions. Deleting live records does not necessarily remove every backup or provider-held copy at the same time.

9. Your choices and requests

You can contact us to request access, correction, an available export or deletion of information, or to raise a concern about how it is used. Rights and any exceptions depend on the law applicable to the request. Where processing relies on consent, you may request its withdrawal; this does not undo prior lawful processing and may affect the feature that needs the information.

Students and staff should normally contact their library first about library-managed records. Library owners can use the Privacy & Data area or email support.librahub@gmail.com. If an export or deletion control is unavailable, contact support for the next steps.

Include your registered email, library name and a clear description of the request. We verify identity and authority before disclosing or changing records. We will explain relevant limitations, any permitted refusal or retention requirement, and respond within applicable legal time limits.

10. Children's information

Library owner accounts must be managed by an adult authorised to act for the library. Libraries that register children must provide appropriate notices and obtain any required parent or guardian permissions before submitting their information. Only information necessary for the child's library membership should be entered.

A parent or guardian with a concern can contact the library and LibraHub support. We may request evidence of authority before taking action.

11. Contact, complaints and policy changes

We may update this policy as the service or applicable requirements change. The version and update date appear above. Material changes will be communicated through the service or available account contact details where required, and fresh consent will be requested where necessary.
